Administrative Assistant:
Part-Time Paid Position

Pay: $17.00 - $20.00 per hour

Expected hours: 16 per week, hours flexible


Experience:
•    Bachelors degree (preferred)
•    Administrative Assistant     

     experience (2 years preferred)

Purpose
The Administrative Assistant is to provide comprehensive administrative support to the church staff and play a crucial role in managing the smooth operation of the church and church office, managing key administrative tasks, and facilitating effective communication both internally and externally. This position requires organizational and interpersonal skills, as well as the ability to handle sensitive information with confidentiality.

Accountability
The Administrative Assistant reports directly to the Adult Ministries Director.

Relationship
All staff members of Grace Community Chapel are engaged with the church in its mission. In order to effectively serve the church, it is essential that all staff members approach their duties and responsibilities with an attitude of support for one another, recognizing that the workflow varies throughout the year and often requires the special support of all to accomplish some tasks. Thus, all staff members are expected to work in harmony with one another, with the volunteers, members of the congregation, the officers, committees, and organizations. The nature of the work of the church requires discretion, tact, and confidentiality.

Job Skills and Requirements

  • A demonstrated Christian faith commitment

  • Excellent verbal and written communication skills

  • Knowledge of office-related software (e.g., Microsoft Office Suite, Google Suite, file navigation)

  • Knowledge of social media platforms and trends (e.g., Facebook, Instagram, TikTok)

  • Skilled at producing high impact visuals and copy tailored to specific audiences.

  • Ability to learn new tasks on current and new software quickly 

  • A commitment to good interpersonal relationships, teamwork, and support of church ministries

  • A commitment to confidentiality regarding all account records of the church, staff, and members

  • All administrative positions are identified as in office, unless arranged differently at the point of hire or later within the employee’s tenure. If a work from home arrangement is agreed upon, home internet access will be required.

Job Responsibilities and Duties

  • Manage and maintain the church office, ensuring it is organized, welcoming and efficient

  • Answer and screen phone calls, emails, and inquiries, providing information and assistance as needed

  • Draft, edit, and proofread various documents, including letters, reports, data tracking/handling, and announcements

  • Create documents and spreadsheets as necessary

  • Maintain and update church records, directories, and databases

  • Manage scheduling appointments, meetings, and events for church staff

  • Responsible for church calendar requests and schedules

  • Execute all communication to the church body (emails, letters, phone calls, etc.)

  • File and protect all church records, paperwork, etc.

  • Check and distribute mail daily, make copies, printing, and running errands as needed

  • Willing to perform other duties at the request of church staff
